Job Title: Office Manager

Job Description:
Kings Meat and Poultry is seeking a skilled and organized Office Manager to oversee and coordinate daily administrative operations. The Office Manager will play a crucial role in ensuring smooth business activities, managing customer relationships, supervising production workflows, and maintaining accurate invoicing and delivery schedules.
Key Responsibilities:
1. Invoicing and Customer Coordination:
– Prepare, process, and manage invoices for customers, ensuring accuracy and timeliness.
– Maintain detailed records of customer accounts and transactions.
– Serve as the primary point of contact for customer inquiries, addressing questions and resolving issues promptly.
2. Production Oversight:
– Monitor and ensure that production activities are aligned with customer orders and business goals.
– Coordinate with production staff to ensure efficient workflow and timely completion of tasks.
– Communicate production updates and address any operational challenges that arise.

3. Staff Supervision:
– Oversee the performance of office and production staff, providing guidance and support as needed.
– Assign and manage daily tasks to ensure efficient operation of the office and production lines.
– Address staff concerns and foster a positive and productive work environment.

4. Delivery Management:
– Organize and schedule deliveries to customers, ensuring timely and accurate dispatch.
– Coordinate with drivers and logistics teams to streamline delivery routes and schedules.
– Track deliveries and maintain open communication with customers regarding delivery updates.

5. Administrative Duties:
– Maintain organized records, files, and documentation for business operations.
– Develop and implement office policies and procedures to improve efficiency.
– Liaise with suppliers and vendors to manage inventory and supplies.

6. Reporting and Communication:
– Generate and present regular reports on production, invoicing, and delivery performance.
– Communicate effectively with management and staff to ensure alignment on business goals.

Required Skills and Qualifications:
-Minimum bachelor’s degree in any field.
– Proven experience as an Office Manager or in a similar administrative role, preferably in the meat or food production industry.
– Strong organizational and multitasking abilities.
– Excellent communication and interpersonal skills.
– Proficiency in invoicing software, MS Office Suite (Word, Excel, and Outlook), and customer management systems.
– Knowledge of production and delivery workflows is highly desirable.
– Ability to work under pressure and meet deadlines in a fast-paced environment.

Preferred Qualifications:
– Experience in the food production or wholesale industry.
– Familiarity with logistics and delivery coordination.
– Leadership and team management skills.
